You’re throwing an event? That’s wonderful! You need signs! Doesn’t matter if you’re planning your wedding, family reunion, sports tournament, stag and doe, or corporate gala, your guests need information and signs are the best way to provide direction. You can have greeters and ushers and customer service on the floor to guide folks, and you can provide detailed instructions prior to the event, but the bottom line is that day-of, your guests will be overwhelmed with information and looking for literal direction. Strategically placed and crafted signs provide everything your guests need to know without wasting time or causing confusion.
Make it ultra-easy for your guests to navigate your event. Start with arrival. Yes, your guests likely have the address of the event location plugged into their GPS, but there are times and places where the GPS fails, and – especially if the location is in a busy area or the event is an evening affair – it can be easy to miss on the first try. Place a bold sign with few words on a sandwich board out front to wave guests in. Add balloons if weather permits! Provide directional signs for parking, and from parking to the event location.
Plain labels are necessary, too. Let your guests know where the Buffet is located, the Dining Room, Coat Check, the Bar, Washrooms, Prize Table, Auction items, and where Gifts reside. Plan to elevate these signs so that they are readily visible throughout the event, even if several people are crowding the area. Make lettering large enough that the signs can be read from the far side of the room. Avoid grouping signs together because when people are inundated with direction, they’ll read one sign and ignore the rest.
Instructional signs are handy. Use an easel sign to provide the Program or Order or Events at a glance so that guests know how long they have to freshen up, hit the bar, or run back to the car for their wallet. Yes, you provided a printed program, and yes, you also posted the information on social media and email. Go the extra mile anyway. You should also provide literal warning signs if guests are not permitted to take photos or recordings, whether there will be strobe lighting or imitation fog, and no-go’s, like “Alcohol prohibited beyond this point” or “No Re-entry”.
Create a customized photo op station! This is a really fun way to use signage, and provide guests with a memorable memento. Of course you should have signs both directing guests “Fancy Photo Op This Way!” and labeling the booth itself. Then you can get creative! Have handheld signs available with funny or inspirational quotes that guests can hold as speech bubbles or photo captions. And create a custom background!
